Position:  Procurement Interns

Duration: Three (03) Months

Location: Lusaka Office

I.  Project Background

John Snow Health Zambia (JSH-Z) with support from USAID through the eSCMIS Project is continuing assisting the Government of the Republic of Zambia in the rollout of a next-generation electronic supply chain management information system (eSCMIS). The eSCMIS Project aims to increase the use of health services, decrease disease burden and increase quality of life through ensuring appropriate quantities and quality of health commodities are available at health facilities to meet patient demands. Continuing the rollout of and provision of technical support to the existing eLMIS will enable a seamless transition from the activities being done under predecessor projects. Establishing public private partnerships to promote sustainability and eSCMIS transition to the government are key objectives in Zambia during this 5-year project plan. The eSCMIS Project is working closely with and in support of the Ministry of Health.

II. Position Background and Purpose:

JSH seeks dynamic candidates for the two (2) positions of Procurement Intern to be based in Lusaka, Zambia for a three (3) month period. The Procurement Interns will provide support to the procurement unit with programmatic and operational procurement to help achieve the eSCMIS project and JSH organizational goals and objectives. The Procurement Interns will work under the supervision of the Procurement Manager and will also provide administrative support to the Operations Unit.

III. Activities/Tasks

Under the supervision of the Procurement Manager, the Interns will be responsible for a variety of local and international procurements primarily for JSH Zambia office operations and eLMIS equipment.  Key to the success of this position will be the ability to liaise effectively with different units within the office i.e. IT, MIS, Administration, Finance, etc.

IV. Requirements

Applicants for this position should possess the following minimum qualifications or skills:

  • Diploma or higher in procurement, logistics or any related field.
  • Must be a member of Zambia Institute of Purchasing and Supply (ZIPS), Student Membership or higher
  • Basic understanding of strategic sourcing.
  • Strong representational and interpersonal skills.
  • Must be a detail-oriented person with good organizational skills.
  • Good written and verbal communication and presentation skills in English.
  • Proficiency in common computer packages such as Word and Excel and familiar with the use of databases.
  • Strong initiative and self-motivation required, with a commitment to learning, teamwork and ethics.

V. Specific Responsibilities will include, but not be limited to, the following:

a) Maintain auditable records for all procured items which include all supporting documentation: FPRs, FPQs, bid evaluations with memorandum of negotiation, purchase orders, invoices and proofs of delivery.

b) Work with JSH staff on finalizing the pre-qualified vendors list for goods and services.

c) Support the procurement team in undertaking quote evaluations, order placements and management of orders.

d) Ensure all purchase orders are raised in compliance with JSH policies and ensuring that all applicable FAR guidelines are followed and all required waivers and documentation are in place.

e) Making follow ups on delivery of goods or services, coordinate timely payment with JSH Finance

f) Work with staff on procurement guidelines, ensuring that staff develop the capacity to follow all applicable procurement rules correctly.

g) Perform other duties as assigned by the Procurement Manager and the Director Operations.
