DUTIES/RESPONSIBILTIES:
1. Custodian of all systems stock at head office and the branches
2. Maintain an orderly arrangement and well labelled stock in the warehouse and the containers and maintain updated bin cards on all stock items in the warehouse and the containers
3. Coordinate the branches and ensure that stock is properly posted in the system and the flow of documents is accurate
4. Maintain an accurately reconciled position of physical stock against the system record both at head office and the branches prepare a stock status report, highlighting the stock items that have reached re-order level every Friday
5. Coordinating with Customer experience department ensuring that only sufficient levels of the required stock are maintained to avoid stock outs and over stocking
6. Coordinating with sales by highlighting the available stock, what has been stocked for too long and advising on promotion to move slow moving items. Prepare a report on old stock and slow moving stock by the 3rd working day of every month
7. Preparing consolidated monthly stock status report by the 3rd working day of every month
8. Receiving stock from suppliers physically and ensuring it is receipted timely and accurately in the system. All discrepancies to be resolved within 24 hours
9. Coordinating with Customer experience in planning and preparing deliveries of stock to customers timely and efficiently
10. Ensuring that planned deliveries are communicated by Customer experience by 14.30hrs the day before the delivery to allow sufficient time for planning and preparing and that all deliveries are dispatched by 09.00hrs on the day of delivery
11. Conducting monthly, quarterly and annual Stock Takes and preparing stock take reports within three working days of the stock count
12. Maintain a record of consignments received and deliveries made and send weekly reports every Friday and monthly reports by the 3rd working day of every month
13. Coordinating with Customer experience and Accounts team to ensure stock system integrity is maintained by ensuring that procedures and processes are followed and all transactions are captured accurately in ERP
14. Efficient training, supervision and motivation of the Stores temporary staff and other staff attached to the department
15. Coordinate with Financial controller in conducting random stock counts for physical accuracy and system verification for both head office and the branches on at least 10 product lines and prepare weekly reports every Friday.
16. Coordinate with Sales, Customer experience and Accounts ensuring that the right stock is in store at the required minimum level to ensure customer satisfaction by timely deliveries and availability
17. Participation in the preparation of annual budgets
18. Ensure that there is an efficient and convenient filing system that will enable documents to be located in not more than 5 minutes from any file
19. Keep a record of all samples taken out by sales and other personnel and ensuring that those samples are returned within the same month that they were issued failing which ensuring that the value of such samples are invoiced to the concerned employee unless written off by the GMD.
20. Prepare reports for the bi-monthly advisors meetings
21. Carry out any other duties as may be assigned.
