The National Food and Nutrition Commission is a statutory Board under the Ministry Of Health, with the mandate of providing promotional. advisory and regulatory support to government on matters of food and nutrition. The Institution now invites applications from suitably qualified candidates for the position of:
EXECUTIVE SECRETARY
JOB PURPOSE
To facilitate and coordinate all secretarial and basic administrative duties of the office of the Executive Director, in order to enhance its performance.
MAIN DUTIES AND RESPONSIBILITIES
- To take dictation and type accurately all draft correspondence and documents for the Executive Director and ensure efficient and quality work
- To minutes the Executive Director during meetings
- To receive all correspondence and documents from both internal and external sources for the Executive Director’s attention and action
- To attend promptly. to the Executive director’s main telephone line in order to enhance timely communication and recording of messages
- To attend to general enquiries for the Executive Director’s office in order to facilitate correct information and reporting
- To keep an accurate record of all the Executive Director’s appointments and assignments for timely attention and action
- To effectively perform basic administrative duties of the office for smooth operations.
- To perform any other duties as assigned by the Executive Director
EDUCATION AND PROFESSIONAL QUALIFICATIONS
- Grade 12 Certificate or equivalent
- A minimum of a Diploma in Secretarial Studies with 100/120 per minute short hand speed and 50/65 words typing speed.
- Five years of relevant work experience
- Member of Professional Secretaries Association of Zambia (PSAZ)
KNOWLEDGE AND SKILLS
- Computer Literate
- Good memory and listening skills
- Confidentiality
- Fluent in English
- Good interpersonal skills
- Able to work with minimum supervision
