The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is the implementing agency of the Federal Republic of Germany for technical and international cooperation. It offers flexible, sustainable and effective solutions in political, economic and social change processes. Most of the work of GIZ is commissioned by the German Federal Ministry for Economic Cooperation and Development (BMZ). GIZ also operates on behalf of other German ministries as well as public and private bodies in Germany and abroad. These include the European Commission, the United Nations, the World Bank and governments of other countries.
The Programme “Strengthening Good Financial Governance in Zambia (GFG)” is funded by the German Federal Ministry for Economic Cooperation and Development (BMZ), the European Union (EU), and the United States Agency for International Development (USAID). Its objective is to strengthen public financial management in Zambia. The Junior Procurement Specialist is responsible for supporting the execution of the procurement and administrative processes in accordance with GIZ procurement policies and procedures to ensure timely and cost-effective supply of goods and services for the programme as part of the Finance and Administration team.
In this context, the project is seeking a suitable candidate for the following position:
Junior Procurement Specialist, Band 3 – (Lusaka based)

Main tasks and responsibilities
- Manage the procurement and organizing of the venues for the project and partner workshops, ensuring the seamless execution of events
- Manage the procurement and administrative requirements of the project office as directed by the supervisor based on GIZ rules and regulations
- Participates in the preparation of bidding documents, request for proposals, procurement shortlists, and other documents based on relevant procedures for the procurement of goods, works, and consultant services
- Tracks orders and ensures their timely delivery, updates and maintains complete procurement records and contract documentation
- Ensures, together with the Finance and Administration Manager, the proper management of paper and digital records
- Monitors the availability of materials and stocks and initiates procedures for restocking
- Maintains the programme’s inventory files, reporting and following up on damaged/defective office furnishings and equipment to project management
- Researches and evaluates prospective suppliers while maintaining good supplier relations and negotiating contracts
- Co-operates with GFG’s Admin and Finance Team, technical advisors, Country Office, other GIZ projects and clusters as required in performance of their duties
- Performs other administrative duties and tasks at the request of management
Qualifications and Requirements:
- Bachelors degree in Purchasing and Supply Chain Management or related field
- Active member of Zambia Institute of Purchasing and Supply (ZIPS)
- Applicants are expected to have their academic certificates verified by Zambia Qualifications Authority (ZAQA)
Professional experience
- Atleast 3 years professional work experience in procurement and contracting
Other knowledge and additional competences
- Excellent coordinating skills
- Good interpersonal skills
- Excellent communication skills, both written and oral
- Ability to prioritize tasks in a complex work environment
- Must be highly adaptable, flexible, proactive, and able to work under pressure.
- Excellent IT skills (Windows Office Applications: Word, Excel, Teams as well as Internet)
- Ability to thrive in a multicultural and multidisciplinary environment
- Demonstrated ability to work collaboratively with different stakeholders
The successful candidate will be expected to start employment with GIZ, on a fixed term contract.
