JOB TITLE: OFFICE MANAGER
REPORTS TO: THE HUMAN RESOURCE & ADMINISTRATIVE OFFICER
RESPONSIBILITIES:
- Handle petty cash
- Ensure communication tools are operational
- Maintain and update manage an efficient registry of electronic and hard copy documents
- Process convey telephone calls and hard copy mails
- Arrange travel and accommodation for CEO and DBD and other staff when need arises
- Coordinate purchase of office supplies , utilities , Stationery and office communicate/internet
- Prepare correspondence, memos and emails other related offices or company in relation to office operations
- Assist in maintaining schedules and calendars for meetings
- Assist in preparing the procurement schedule
- Keep accurate record of file movements
- Assist with general filling
- Collect packages, quotations and other office equipment plus maintaining records of all deliveries and distributions
- Manage the office storage system including detailed record keeping of inventory levels, and monitoring of use by staff as appropriately required
- Oversee office upkeep in terms of needed repairs and daily cleaning
- Perform any other relevant duties as assigned by the Director – Business Development, CEO and Human Resource & Administrative Officer.
Desired Qualifications:
- Diploma/ Certificate in business administration, public administration, business management or related field, with at least 2 years of office management experience in a private company.
- Demonstrated experience in supervision of support staff
- Strong critical thinking, problem-solving
- Excellent written and verbal English skills
- Strong communication and interpersonal skills
- Ability to deal appropriately with sensitive issues and maintain a high level of confidentiality at all times
