Kapasa Makasa University as a Public University is inviting applications from suitably qualified and experienced candidates for appointment in the University establishment as :

1.OFFICE MANAGER

Job Purpose: Provide strong, reliable support to Principal Officers

Office Manager Responsibilities include :

i.Handling petty cash
ii.Ensure work tools are operational and office supplies at required level
iii.Maintain and update an efficient registry of electronic and hard copy documents
iv.Process and convey telephone calls and hard copy mail
v.Prepare correspondence, memos and emails for other related offices in relation to office operations
vi.Maintaining schedules and calendars for meetings and keep appointments.
vii.Keep accurate record of file movements and manage general filling
viii.Oversee office upkeep in terms of needed repairs and daily cleaning
ix.Ability to deal appropriately with sensitive issues and maintain a high level of confidentiality at all times
i.Performs other related tasks as assigned by the supervisor and management.
x.Ability to work with minimum supervision

Required Skills, Abilities, and Knowledge:
a)Grade 12 School Certificate with five Credits including English language. .

b)Minimum of a Diploma in secretarial studies; additional qualifications in Public Relations/ Administration, Front Office management will be added advantage.
c)Must be proficient and fluent in both spoken and written English Language with high computer skills in Word and Excel

d)Relevant experience preferably in a higher learning institution.

e)Shorthand/Typewriting Speed of 90/100WPM and 55/65WPM

f)Demonstrated experience in supervision of support staff

g)Strong critical thinking, problem-solving

h)Must possess good interpersonal skills, must be disciplined and innovative

i)Leadership skills and supervision of lower level admin staff.

j)Must be a member of the Professional Secretaries Association of Zambia.
