Job Summary
The E-Vendor Management Assistant is responsible for ensuring the smooth operation and management of vendor registration, invoicing, payment follow-ups, and account reconciliation processes on the ZIAMIS platform. This role requires close collaboration with squads, district representatives, and ministry stakeholders to ensure timely and accurate execution of tasks.

Key Responsibilities

  1. Vendor Registration and Management
    • Add branch agro-dealers onto the ZIAMIS platform.
    • Register gadgets for newly onboarded vendors, ensuring functionality and compliance.
    • Collaborate with all squads to streamline vendor onboarding processes.
  2. Invoice Oversight
    • Oversee the generation of invoices for each district.
    • Upload generated invoices onto the ZIAMIS platform accurately and on time.
  3. Payment Follow-Ups
    • Actively follow up with the Ministry to ensure timely payment of invoices.
    • Maintain records of communication and payment progress for accountability.
  4. Account Reconciliation
    • Reconcile the e-voucher account to ensure accuracy in financial reporting.
    • Investigate and resolve any discrepancies promptly.

Qualifications and Skills

Education:

  • Diploma or degree in Business Administration, Accounting, Information Technology, or a related field.

Experience:

  • Prior experience in vendor management, invoicing, or financial reconciliation is preferred.
  • Familiarity with the ZIAMIS platform or similar systems is an added advantage.

Technical Skills:

  • Proficiency in data entry and using online platforms for vendor and financial management.
  • Strong skills in Microsoft Office Suite (Excel, Word, etc.).

Soft Skills:

  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills to engage with various stakeholders.
  • High level of attention to detail and accuracy.
