Job Summary
The E-Vendor Management Assistant is responsible for ensuring the smooth operation and management of vendor registration, invoicing, payment follow-ups, and account reconciliation processes on the ZIAMIS platform. This role requires close collaboration with squads, district representatives, and ministry stakeholders to ensure timely and accurate execution of tasks.
Key Responsibilities
- Vendor Registration and Management
- Add branch agro-dealers onto the ZIAMIS platform.
- Register gadgets for newly onboarded vendors, ensuring functionality and compliance.
- Collaborate with all squads to streamline vendor onboarding processes.
- Invoice Oversight
- Oversee the generation of invoices for each district.
- Upload generated invoices onto the ZIAMIS platform accurately and on time.
- Payment Follow-Ups
- Actively follow up with the Ministry to ensure timely payment of invoices.
- Maintain records of communication and payment progress for accountability.
- Account Reconciliation
- Reconcile the e-voucher account to ensure accuracy in financial reporting.
- Investigate and resolve any discrepancies promptly.
Qualifications and Skills
Education:
- Diploma or degree in Business Administration, Accounting, Information Technology, or a related field.
Experience:
- Prior experience in vendor management, invoicing, or financial reconciliation is preferred.
- Familiarity with the ZIAMIS platform or similar systems is an added advantage.
Technical Skills:
- Proficiency in data entry and using online platforms for vendor and financial management.
- Strong skills in Microsoft Office Suite (Excel, Word, etc.).
Soft Skills:
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills to engage with various stakeholders.
- High level of attention to detail and accuracy.
