About the job Program Manager
Job Summary
The Program Manager is responsible for providing leadership and vision in the establishment and implementation of Family Legacy’s organizational mission, vision and strategic plans in the Legacy Academies (LAs). Duties and responsibilities of the job include providing leadership and direction over the formulation and implementation of educational programs including but not limited to instruction, examinations and curriculum and services such as sponsorship and communication in order to best provide for the educational needs of students and the community.
The Legacy Academy Program Manager is responsible for providing close oversight, accountability, and leadership of the Academics program and 18 Legacy Academy schools at Family Legacy in order to ensure quality program delivery and excellent academic performance.
Specific Tasks
1. People Management
- Oversee, manage, and coach Legacy Academy Deputy Program Managers and other direct reports to ensure LAs achieve high academic performance.
- Manage work performance and conduct appraisals for direct reports at agreed intervals. Ensure direct reports are doing the same with respect to strategic goals.
- Implement individual professional goals for all direct reports and ensure attendance for corresponding staff development initiatives.
- Solicit and give appropriate feedback to staff to encourage development of strengths and address areas of growth.
- Facilitate and lead meetings in collaboration with direct reports at stipulated intervals as required by the policies of the organization.
- Attend regularly scheduled meetings with supervisor.
- Listen to staff concerns and needs and provide feedback at an appropriate time to all stakeholders including Line Managers and Associate Country Director.
- Ensure that each school environment fosters and maintains respectful and responsible behaviors.
- Ensure the safety of students while participating in school programs.
- See to the development of high standards of performance in in the educational achievement throughout the LAs.
- Interpret the policies and goals of the organization for subordinates, such as the Strategic Plan, Child Protection Policy, and ensure proper adherence.
2. Leadership
- Ensure compliance in the LAs in regards to the policies of Family Legacy and the rules and regulations of the Ministry of Education.
- Spearhead planning and development of school policies and administrative procedures and monitor implementation.
- Oversee and ensure development of feedback instruments (Lesson Observation tools, Glows/Grows, coaching, etc)
- Ensures that staff members collaborate with other professionals
- Engage in decision making consultation with supervisors and subordinates.
- Building the capacity of subordinates in problem solving to mitigate disruptions that may arise in the LA.
- Create or cause to be created a school culture that promotes good values among learners and staff as required by the ministry policies.
- Propose and develop policies to strengthen and address various programs and initiatives in the Legacy Academies.
- Intentionally build relationships with team members to foster an environment of collaboration and freedom.
3. Strategic Planning and Reporting
- Analyze critical needs in assigned areas and work collaboratively to design, implement, refine and evaluate assigned programs for continuous improvement through strategic goals and objectives as related to the Legacy Academies
- Participates in the strategic planning process with supervisors and line managers to ensure that FLMZs goals for program implementation are addressed.
- Ensures that direct reports, school administration and staff are involved appropriately in the planning and reporting process for initiatives of the LAs.
- Takes the lead responsibility for planning and evaluation of the LA program in key areas.
- Ensure monthly departmental reports are written and compiled.
4. Financial Responsibility
- Recommending an annual budget to the Finance Department prior to October of each year.
- Ensures that financial resources are expended in accordance with the annual budget approved by the Board, except in the case of an emergency with the direct approval of the Chief Financial Officer in Zambia.
- Ensures that procurement procedures for learning materials, such as textbooks and academic supplies, are followed.
5. Records Management
- Collaborates with other line managers in devising and maintaining a system of reports to keep sponsors and caretakers informed of the attendance, scholarship and conduct of their children.
- Ensure that all information regarding sponsored children is updated to the Dallas office/database.
- Maintain or cause to be maintained accurate and up to date sponsorship records.
6. Procurement and Distribution of School Resources
- Works with States-side to ensure that learning materials are procured and equitably distributed to schools as needed to support teaching and learning.
7. Communication
- Ensures that the supervisor is informed concerning current educational trends by visiting other schools and collaborating with the Ministry of Education.
- Facilitates communication and collaboration among assigned department personnel, district personnel and campus administrators to enhance service delivery and program development.
- Monitors communications of all sponsored children between Zambian office and Dallas office.
- Respond promptly and effectively to all enquiries regarding all sponsored children.
- Track and ensure that specific child updates are completed and communicated to Dallas in a timely manner.
- Complete all standard reports received from the field and forwarding them to US office or Manager/relevant personnel so that action can be taken.
**Performing all other appropriately assigned and related work, delegated or requested, to accomplish the objectives of the total Legacy Academies program.

Academic and Professional Requirements:
- Grade 12 certificate.
- Masters degree and/or proven high performance in Family Legacy.
- At least 10 years work experience in a similar and or leadership position.
