Reports to – Administration and Procurement  Assistant Coordinator

Monthly intern Allowance – K2,000

KEY PRIORITIES

The Procurement and Administration Coordinator responsibilities include strategizing to find cost- effective deals and suppliers and as listed below.

System Strengthening and Processes

  • Devise and use fruitful sourcing strategies.
  • Discover profitable suppliers and initiate business and organization partnerships.
  • Negotiate with external vendors to secure advantageous terms.
  • Finalize purchase details of orders and deliveries.
  • Track and report key functional metrics to reduce expenses and improve effectiveness.
  • Collaborate with key persons to ensure clarity of the specifications and expectations of the company.
  • Control spend and build a culture of long-term saving on procurement costs

Administration Management & Coordination

  • Process purchase requisitions / orders within purchasing authority
  • Invite, assess, and award/recommend supplier tenders, bids, quotations, and proposals.
  • Establish and negotiate contract terms and conditions, and maintain supplier relationships.
  • Prepare and maintain purchasing records, reports and price lists.
  • Assist in the development of specifications for equipment, materials, and services to be purchased.
  • Administer contract performance, including delivery, receipt, warranty, damages and insurance

Other

  • Other duties as required.
  • You may occasionally be required to work on weekends and/or public holidays, for which time off in lieu will be granted.

Experience and skills

Essential

The Administration intern should have the following skill sets:

  • communication, active listening and learning, reading comprehension, Coordination, judgment and decision making, organization, time management, writing, service orientation, negotiation, and very good with numbers.
  • No prior work experience is required but it’ll be considered an advantage’

Desirable

  • Diploma in procurement and supply (CIPS level 4), Diploma in Business Administration or any other related qualification.
