PROCUREMENT OF CATERING SERVICES PROVIDER FOR SNV NETHERLANDS DEVELOPMENT ORGANISATION, LUSAKA OFFICE

Events and Mobile Catering Services:
SNV Netherlands intends to contract a catering service provider responsible for events and mobile catering services, and the provided services shall be a one-stop-shop for SNV’s catering needs when required.
The catering service provider might be responsible for daily catering activities, if competitive, by providing hot and cold beverages and food in accordance with SNV official working hours for conferencing and meeting facilities as required.
The catering service provider shall be responsible for event planning and customs menus for special events as agreed with SNV.
That shall include catering SNV functions providing banquet arrangement, table set up and decoration, and staff arrangement as required. The catering service provider could provide for third-party events, either formal or casual, if requested.
The list of events shall include but not be limited to meetings, business dinners and banquets, conferences and seminars, retreats and team building events, workshops, social events, and office events.
The catering service provider shall provide cutlery items as required.
The catering service provider shall be responsible for timely preparation and delivery of meals and beverages to SNV respective venues. In preparation for events, the catering service provider shall assure the number of individuals catered for is accurate as communicated and approved by SNV.
The catering service provider shall provide healthy and value-priced options. The preparation of snacks, meals, and beverages shall be to acceptable food industry standards.
In the event meals are prepared outside of SNV facilities, SNV reserves the right to inspect such facilities to ensure compliance with health and safety standards.
1.2 Equipment ⋅
The catering service provider shall be responsible for the provision of adequate catering equipment, cutlery and crockery as the event requires.
1.3 Cleaning
The catering service provide shall be responsible for cleaning and removing of catering equipment form the venue at the end of each event, function, or meeting.
1.4 Price
The pricing of catering activities shall be as follows:
- Pre-established and agreed on pricing for hospitality meals, snacks, and beverages for different option as per the event type for conferencing and auditorium facilities.
General Guideline for Catering Service Providers:
SNV will conduct regular internal inspections to ensure quality and value for money for all catering services. In general, the catering service provider shall be responsible of the following:
- Provision of uniforms for catering staff.
- Obtaining all necessary licenses and certificates for the operation of catering services.
- Delivery of high-quality meals and excellent services.
- Supply of sufficient quantity and quality food and maintenance of hygiene and healthy sanitary conditions.
General Information for all Services
Duration of Contract
The contract will be for a duration of One (1) year on a need basis (SNV must be invoiced for each assignment individually, upon the submission of a tax invoice).
Validly of the Bids
The bids received will be valid for a period of ninety (90) days from the date of opening.
Bids Opening
Bids will be opened immediately after the bid closing hours. Late bids will be rejected and deemed unsuccessful.
Safety and Health
All work shall comply with all applicable national regulations and health requirements, and the SNV Health and Safety Policy. The vendor shall assume full responsibility and liability for compliance with all applicable regulations pertaining to the health and safety of personnel during the execution of work.
1. Past Performance
1.1. Include three references related to similar assignments within the past five years (max), attaching contact details and evidence of the work produced
2. Mandatory Requirements
2.1 For Zambian national individual consultants: copies of Tax Registration certificate and the most recent tax clearance certificate.
2.2 For a firm registration document: Business license/Certificate of Registration for all, Tax Registration, Current Tax Clearance Certificate and VAT if applicable
Failure to provide a full package of documents listed above them will result in disqualification of the whole bid. Only Shortlisted Candidates will be contacted.
