Zambia Sugar Plc is a subsidiary of the Illovo Sugar Company (Pty) Ltd Group and is the leading sugar producer in Zambia. Its main activities are the growing of sugar cane, the production and marketing of sugar and other downstream products.
The Company invites applications from suitably qualified and experienced persons to fill the following positions in the Supply Chain Department to be based at Nakambala (Mazabuka):
1. Inventory Operations Controller (First Line Management) x1 – Permanent
The position reports to the Inventory Manager.
KEY PERFORMANCE AREAS
- Partner with Inventory Manager to achieve optimal onsite Inventory stock holding from both a financial and operational perspective.
- Support the Inventory Manager in implementing effective Inventory management process & managing daily stores activities (Receiving).
- Support the Inventory Manager in implementing effective Inventory management process & managing daily stores activities (Issuing).
- Lead, manage and develop Inventory Operational teams.
- Ensure compliance to inventory management policies, strategy, processes, and guidelines, taking into account user needs.
- Promote and adhere to Illovo’s procedures, policies, and guidelines, including, without limitation, those relating to SHERQ, Competition Law and Anti-Bribery and Corruption (ABC).
Minimum specifications / Requirements areas
- Full Grade 12 Certificate.
- Advanced CIPS/Degree in Procurement / Purchasing / Supply Chain Management,/ Business Administration/Management or equivalent.
- Minimum of 3 to 5 years’ experience in similar role (Procurement / Purchasing / Supply Chain management experience will be an added advantage)
- Demonstrated understanding of stores management and Inventory management systems and processes.
- Demonstrable track record in managing teams.
- Member of Zambia Institute of Purchasing and Supply (ZIPS).
2. Contracts Officer x1– Permanent
The position reports to the Contracts Manager.
KEY PERFORMANCE AREAS
- Support with the administration of local procurement contracts per Group category plans; and support the strategy to maximise contract buying for local purchases.
- Analytics on local vendors and markets.
- Manage the supplier/vendors take on process and accuracy of information.
- Ensure governance and compliance to procurement controls and standards.
- Promote and adhere to Illovo’s procedures, policies, and guidelines, including, without limitation, those relating to SHERQ, Competition Law and Anti-Bribery and Corruption (ABC).
Minimum specifications / Requirements areas
- Full Grade 12 Certificate
- Diploma in Business Administration/Management, Procurement/ Supply Chain Management, A bachelor’s degree will be an added advantage.
- Minimum of 2 years’ experience in similar role
- Some technical knowledge and understanding of Procurement processes and Supply Chain management.
- Ability to engage/manage/partner with stakeholders.
- Member of Zambia Institute of Purchasing and Supply (ZIPS)
3. Receiving Clerk x1 – Permanent
The position reports to the Inventory Operations Controller.
KEY PERFORMANCE AREAS
- Accountable for the receiving of all materials obtained from suppliers by the stores are of the correct quantity, quality and specification as requested.
- Process receiving transactions and investigate/resolve queries where required.
- Forward completed supplier documents for goods received to Accounts for payment.
- Should discrepancies be identified, partner with requisitioners and purchasing team to inspect quality of products and initiate returns process.
- Plan and coordinate staff to offload trucks and other deliveries to stores.
- Promote and adhere to Illovo’s procedures, policies, and guidelines, including, without limitation, those relating to SHERQ, Competition Law and Anti-Bribery and Corruption (ABC).
Minimum specifications / Requirements areas
- Full Grade 12 Certificate
- Diploma in Purchasing and Supply/ ZIPS/ CIPS / Business Administration/Management or equivalent.
- 1-2 years’ experience in similar role (experience in general stores will be an added advantage)
- Strong communication skills with experience in engaging with stakeholders at all levels.
- Computer literate
- Strong numerical and analytical skills. Working knowledge of Inventory technology systems advantageous.
- Member of Zambia Institute of Purchasing and Supply (ZIPS)
4. Expediter x2 – Permanent
The position reports to the Inventory Manager.
KEY PERFORMANCE AREAS
- Expedite orders daily as well as monitoring the correct completion and archiving of purchasing documentation.
- Facilitate flow of material between various departments and suppliers
- Track orders from placement through delivery
- Liaise with vendors/suppliers, buying team and requisitioners to ensure timely delivery of goods/material as well as co-ordinating with the requisitioners.
- Partner with receiving department to identify deliveries that are not OTIF (On-Time, In-Full) for subsequent engagement via the supplier management process.
- Collaborate with contract specialist and vendor maintenance personnel to assess performance of suppliers and vendors as well as identify solutions for ongoing challenges.
- Liaise with creditors regarding order queries and other related Procure-to-Pay concerns.
- Retain all expedite reports and documentation for reference and auditing in accordance with Financial Control Framework Questionnaire (FCFQ).
- Monitoring performance of on-site vendors and where necessary escalating to the contract specialist should discrepancies be identified e.g., backlog of outstanding orders.
- Ensure compliance to the FCFQ is achieved through rigorous engagement with group and internal audit (this includes maintaining relevance to current systems, policies & procedures.
- Adhere to Illovo’s procedures, policies, and guidelines, including, without limitation, those relating to SHERQ, Competition Law and Anti-Bribery and Corruption (ABC).
Minimum specifications / Requirements areas
- Full Grade 12 Certificate
- Diploma in Purchasing and Supply/ ZIPS/ CIPS Level 6/ Business Administration/Management or equivalent.
- 1-2 years’ experience in general stores / procurement.
- Working knowledge of Inventory technology systems advantageous.
- Strong communication skills with experience in engaging with stakeholders at all levels.
- Computer literate
- Strong numerical and analytical skills
- Member of Zambia Institute of Purchasing and Supply (ZIPS)
