AGL Zambia Limited is pleased to announce an incredibly exciting opportunity to join the Operations Department  as International Freight Forwarding Officer.

How Will You Impact AGL Zambia Ltd?

Under the supervision of the International Freight Forwarding Supervisor, you will handle and monitor Clients’ business, monitor and co-ordinate movement of consignments / trucks, and regularly update the Client on the status of their shipment whether it relates to Final Clearance, RIB, RIT, Export or Transit cargo.

Key Tasks and Responsibilities

Road freight

  • Electronic pre-alerts received from the Supplier/Importer/Transporter or forwarding department, advising date of dispatch of consignment and estimate date of arrival at the border.
  • Avoid delays at the Border and the Supplier is immediately to be advised what documents must accompany the consignment.
  • Keep regular contact with relevant border
  • Forward the information by email to relevant Border

Airfreight

  • Electronic pre-alerts received from the Supplier/Importer/Transporter or Forwarding Department to be actioned within a minimum of 24 Hours, prior to dispatch of consignment.
  • To avoid any delays, the Supplier must supply the date of dispatch and date of estimated arrival (ETA)
  • Advise the Supplier of the documents that must accompany the shipment

Client Communication

  • Maintain close communication with the Client with up-to-date information regarding their consignment
  • Clearance timely update
  • Ability for sense of urgency
  • Able to work under minimum supervision
  • Team player and must be flexible
  • Positive attitude
  • Professional and reliable

File Creation

  • Open hardcopy and electronic file showing Branch Reference Number
  • Accurate data entry
  • File must be opened within the KPI

Customs Clearance

  • Pass the file to Clearing Department
  • Monitor Customs Clearance process and keep Client updated
  • Cleared documents transmission
  • Must be conversant with customs mode of clearances being (IM4, IM5, IM8, EX1, EX2, EX3 TEP, TIP)

Cargo Status Report

  • Compile a daily report for clients and share a copy with the Branch Manager and Operations

 Invoices

  • Ensure to raise correct Invoices and timely submission to client
  • Follow up to ensure full settlement of the Invoice
  • Transportation Of Cargo
  • Cargo Received Report obtained from the Warehouse
  • Send arrival Notification to Client
  • Issued Delivery Note must be approved by Branch Manager and Finance department
  • Once Delivery has been done ensure proper acceptance by Client by signing POD

Qualifications

  • Diploma or Certificate in Clearing and forwarding or similar qualification
  • At least 2 years of work experience in a similar position (Clearing and forwarding or in Transport and Logistics -Related Field)
  • Clearing and forwarding or shipping management is an added advantage
  • Must be fluent in both written and verbal English.
  • Must be conversant with Microsoft applications such as Excel, Word and Power Point.
  • Must be able to work independently, be self-assured as well as have a diplomatic personality
  • Personal Assistant qualifications an added advantage
