Hail & Cotton Zambia Limited, a leading global tobacco leaf merchant, are currently recruiting for their Zambia Operations. The following position is vacant.
AGRONOMY CLERK (x1 - Mkushi)
This position is responsible for providing data management, and operational support to the agronomy function by ensuring the accurate capture, maintenance, and reporting of grower, crop input, and production data, with the following key responsibility guidelines;
1. Data Entry
• Accurately and timely capture data from field documents and other approved sources into designated databases and systems.
• Verify the accuracy, completeness, and consistency of data by cross-checking entries against source documents.
• Identify, investigate, and correct data discrepancies and errors to maintain data quality and reliability.
2. Data Management
• Utilize relevant software applications and database systems to efficiently manage, analyze, and maintain data.
• Support the development, maintenance, and continuous improvement of agronomic databases to facilitate informed crop production decisions.
• Perform regular data backups and adhere to data security protocols to ensure data integrity and confidentiality.
3. Grower base Management
• Maintain and distribute updated grower databases on a monthly basis, ensuring all changes are accurately recorded and documented.
• Maintain an accurate and credible grower master list database, including Loan Statements, Grower Contracts, and Grower Sales Data.
• Liaise with Field Technicians to identify and resolve database-related discrepancies and ensure all amendments are properly validated and documented.
4. Document Handling and Filing;
• Organize, maintain, and archive both electronic and hard-copy records in accordance with company procedures.
• Handle confidential and sensitive information with the highest level of professionalism and discretion.
• Scan, photocopy, file, and retrieve documents as required to support business operations and compliance requirements.
5. Communication, Reporting and Office Support
• Collaborate with internal stakeholders and departments to obtain accurate and timely information required.
• Prepare and assist in the generation of routine and ad hoc reports, summaries, and data analyses.
• Provide day-to-day administrative support to the site office to ensure efficient operations.
• Coordinate office supplies, stationery requirements, and document control processes.
• Schedule meetings, prepare agendas and minutes, and provide administrative support to field personnel.
• Supervise casual employees during crop input distribution exercises and warehouse-related activities.
6. Crop Inputs Support;
• Ensure Field Technicians are provided with the correct and approved documentation prior to crop input distribution activities.
• Prepare weekly crop input distribution reports and conduct reconciliations with Lead Technicians and relevant stakeholders.
• Verify that crop inputs distributed are aligned with contracted hectare allocations and ensure the accuracy of distribution records and receipts.
• Maintain accurate stock records and inventory controls for all farming inputs to support accountability and stock management.
Attend to any other duties assigned in your line of work
Qualifications and Requirements;
• A minimum of Grade 12 Certificate, Credit or better in Mathematics and English.
• Diploma or Degree in Data Entry/Management, Business or Agri-based program will be an added advantage.
• Previous experience in data entry or clerical work is preferred.
• Proficiency in Microsoft Office Suite (Excel, Word, etc.), and familiarity with database management software.
• Competency and experience with Accounting, IT or Finance principles will be an added advantage.
• Strong attention to detail to ensure accurate data entry and record keeping
• Ability to communicate effectively with team members.
• Excellent organizational skills with management of large volumes of data and records.
