Job Overview
The receptionist will be responsible for managing front -office operations, guest relations, reservation administration, and toll orders at Liuwa Plain National Park. The role serves as the first point of contact for guests and visitors while ensuring accurate reservation management through ResRequest and efficient coordination of guest services and park operations.
Key responsibilities
1. Reception and Guest Services
- Welcome guests, visitors, and stakeholders in a professional and friendly manner.
- Handle guest enquiries, bookings, complaints, and requests promptly and professionally.
- Provide information about accommodation, activities, park regulations, and visitor services.
- Coordinate Guest arrivals, departures, room allocation, and check -ins/check -outs.
- Ensure all guests receive orientation and relevant information upon arrival
2. Reservation management (ResRequest )
- Manage accommodation and activity bookings through the ResRequest system.
- Create, amend, and cancel reservations as required.
- Ensure all guest profiles, booking details, and special requests are accurately captured.
- Prepare arrival and departure schedules and communicate them to the relevant departments
- Monitor occupancy levels and assist with accommodation planning.
- Generate reservation reports and provide updates to management when required.
3. Toll orders and administration
- Prepare and process toll orders accurately and in a timely manner.
- Maintain records of toll orders and ensure proper filing and documentation.
- Coordinate with relevant departments to ensure goods and services requested through toll orders are delivered as required.
- Track outstanding orders and follow up where necessary.
- Assist with procurement -related documentation as directed by management.
4. Communication and coordination
- Answer Telephone calls, email, and radio communications professionally.
- Relay messages accurately to relevant staff and departments
- Coordinate guest movement, transfer, and activity schedules.
- Maintain effective communication with camp operations, guides, and administration staff.
5. Cash Handling and record keeping
- Process guest payments and maintain accurate records where applicable.
- Assist with invoice preparation and guest account reconciliation.
- Maintain an accurate filing system for reservations, guest records, and operational documents.
- Ensure confidentiality of guest and company information.
6. Office Administration
- Maintain reception and office areas in a clean and organized condition.
- Assist with preparation of reports, correspondence, and administrative documents.
- Monitor office stationery and report shortages.
- Support tourism and administrative operations as required.
7. Health, Safety and Environment Compliance
- Adhere to park policies, procurement and safety standards
- Promote environmentally responsible practices within the workplace.
- Report safety concerns, incidents, or operational challenges to the Assistant Tourism Manager
8. Teamwork and General Duties
- Work closely with camp, tourism and administration teams to ensure efficient operations.
- Participate in training sessions and operational meetings.
- Perform any other duties assigned by the assistant tourism manager or tourism manager.

Qualifications and Experience
- Grade 12 certificate or equivalent.
- Certificate or diploma in tourism, hospitality, business administration, or a related field is an added advantage.
- Experience using ResRequest or similar reservation systems s is preferred.
- Previous experience in reception, reservation, or administration is an added advantage
- Ability to communicate effectively in English and silozi.
- Good computer literacy, including Microsoft Office applications.

- Timely processing of toll orders and administrative tasks.
- Guest satisfaction and positive feedback.
- Effective communication and coordination with operational teams.
- Compliance with company policies and operational procedures.
