Zambia Electronic Clearing House Limited (ZECHL) is a corporate entity registered under the Companies Act 1994, Chapter 388 of the Laws of Zambia whose main objective is to provide reliable, effieient and cost-effective clearing and switching services to the financial sector. The company now wishes to recruit for the position to be based at its Head Officer situated at the COMESA Head Office Lusaka.

Personal Assistant

Job Summary

To provide Administrative and Secretarial services to CEO and Senior Management and produce various narrative and technical documents. The role provides office services implementing systems, procedures, and policies, and monitoring administrative projects.

Key Accountabilities

  • Provide officer secretarial serviecs to CEO and Senior Management staff.
  • Types from shorthand noted or manuscript, letters, memoranda, tables, reports, and other documents of a routine and confidential nature for senior staff.
  • Keep the CEO’s diary and coordinate all meetings.
  • Receives, places, filters and conveys telephone calls, tactfully, screens visitors to offices under his/her watch to prevent uneecssary interruption Senior staff.
  • Orders and keeps reasonable supply of office stationary, and other requisits to facilitate movement of correspondence and production of documents.
  • Makes internal and external travel and accommodation arrangements for all staff travelling.
  • Maintain a logicaI and systematic filling system for all conespondence.
  • Makes necessary arrangements for meetings, seminars and wokshops of the organisation.
  • Ensures proper record keeping of all company documents.
  • Assist Manage the Administrative function of the company.
  • Supervise the Office Assistant
  • Ensures availability of office supplies and maintain clean and healthy office surroundings.

Academic and Professional Qualifications & Skills

  • A Grade 12 certificate/School Certificate with credit passes including English Language and Mathematics
  • Diploma in secretarial and office Management
  • A degree or diploma in Business Administration, Public Administration or Human Resources will be an added advantage
  • At least five years relevant experience.
  • Proficiency in all Microsoft Office applications.
  • The ability to work in a fast-paced environment.
  • Excellent analytical problem-solving and management skills.
  • Effective communication skills and decision-making skills.
  • High Computer skills in Microsoft suite, ability to work with minimum supervision, sober character.
  • Capable of handling confidential matters.
  • A Member of the Secretary Association of Zambia.
