JOB PURPOSE
To provide support to the operational component of the National HIV/AIDS/STI/TB Council (NAC), assisting in the management and development of the stores' business plan, verifying all incoming materials, responsible for the security of stores, checking opening stocks daily, specifically running items, and ensuring proper rescheduling, recordkeeping, and inventory controls.
KEY RESPONSIBILITIES
- Receive and properly store goods procured or donated.
- Check and record opening stock levels daily, with emphasis on frequently used items.
- Record all goods received in the appropriate Goods Received Book.
- Maintain accurate and up-to-date records, both physical and electronic.
- Assist in the management and implementation of the Stores Business Plan (SBP).
- Monitor and track stock to support uninterrupted business supply.
- Update and maintain the institutional asset register to reflect all assets accurately.
- Classify and code goods appropriately and store them in designated bins.
- Initiate procurement processes by monitoring physical stock levels and reporting shortages.
- Maintain stock bin cards to record all stock movements and balances, including donated items.
- Verify the quality and accuracy of all incoming materials.
- Ensure proper management and security of the store's area and stock.
- Utilize technology and warehouse automation systems effectively in stock management.
- Perform any other related duties as may be assigned by the Financial Accountant.
QUALIFICATIONS AND EXPERIENCE
- A Grade 12 School Certificate or its equivalent with Credits in English and Mathematics.
- Diploma in CIPS or any other related qualification.
- Zambia Institute of Purchasing and Supply (ZIPS)/Chartered Institute of Procurement and Supply (CIPS) membership is a must.
- At least three (3) years’ experience in a similar position
- Experience with donor-funded projects is an added advantage.
- Able to handle a variety of assignments, sometimes under pressure of deadlines.
- Proven self-starter with a broad set of experiences that can be brought to bear in a variety of flexible and changing program management situations
- Strong knowledge of HIV/AIDS programming of project monitoring with the ability to travel within and outside Zambia.
