Project Manager (Outsourced Development Cross-Functional Program Lead)

· The PM will lead a multi-phase initiative aligned with this mission, coordinating design, development, and operations across UI/UX, frontend, backend, and DevOps/QA with outsourced teams to deliver a high-quality digital platform that supports spiritual growth, community engagement, and practical life coaching resources.
Role summary
· Own end-to-end delivery of a multi-phase product initiative spanning UI/UX design, frontend development (Flutter for mobile, React/Nex.js for web), backend development (Django + PostgreSQL), and DevOps/QA/publishing.
· Acts as the primary interface between internal stakeholders and all outsourced development teams, ensuring alignment, quality, and on-time releases within budget.
· Owns product backlog governance, milestone planning, risk management, governance ceremonies, vendor management, and delivery reporting.
Core responsibilities
· Program governance and planning
o Define the program scope, milestones, budgets, and success metrics for all five phases.
o Build and maintain a phased project plan with clear dependencies, critical path, and acceptance criteria.
o Create and maintain the RACI matrix for the program.
· Backlog and requirements management
o Collaborate with product, design, and engineering leads to translate business goals into backlog items, user stories, acceptance criteria, and tangible deliverables.
o Prioritize across phases to optimize scope, value, and risk, while managing stakeholder expectations.
· Vendor and team orchestration
o Recruit, onboard, and manage outsourced development teams; establish SLAs, working agreements, communication cadences, and escalation paths.
o Serve as the single point of contact for status, blockers, and contractual governance; coordinate across frontend, backend, design, and DevOps/QA partners.
· Delivery cadence and quality assurance
o Plan and facilitate sprint/iteration cadences (planning, reviews, retrospectives) and ensure timely demos to stakeholders.
o Enforce quality gates (code quality, testing coverage, performance criteria, security standards, accessibility) and ensure deliverables meet acceptance criteria.
o Manage risk, scope changes, and issue resolution with transparent reporting.
· Architecture and technical alignment (through domain leads)
o While technical motifs are handled by the Technical Leads (Frontend Lead, Backend Lead, UX/UI Lead, DevOps/QA Lead), ensure alignment with overall architecture, API contracts, data models, and design system fidelity.
o Review high-level architectural decisions, integration points, and cross-team dependencies to prevent siloed work.
· Stakeholder communication and reporting
o Provide transparent program updates to executives and stakeholders; prepare dashboards, risk logs, budget burn, and milestone progress.
o Document decisions, trade-offs, and change requests; maintain a single source of truth for all artifacts.
· Compliance, risk, and security
o Ensure compliance with data privacy, security requirements, and IP considerations in vendor agreements.
o Lead risk management planning and implement contingency strategies.
· Change management and go-live readiness
o Coordinate release planning, user training, documentation, and support handoffs.
o Ensure smooth publishing across platforms and post-release monitoring.
Required qualifications
· 7+ years of project/program management in software development, including multiple-phase product delivery and distributed/outsourced teams.
· Demonstrated ability to manage multi-vendor engagements with clear SLA structures and governance.
· Strong familiarity with the tech stack (Flutter, React/Nex.js, Django, PostgreSQL) at a high level; ability to interface effectively with Technical Leads.
· Proficient in Agile methodologies (Scrum/Kanban), backlog management, and value-driven prioritization.
· Excellent stakeholder management, communication, and negotiation skills; proven ability to translate business goals into actionable technical tasks.
· Experience with PM tools (Jira/Linear/Aha!, Confluence), plus reporting dashboards and risk registries.
Nice-to-have
· Prior experience leading cross-functional programs that span design, frontend, backend, and DevOps.
· Exposure to design systems and Figma handoffs; working knowledge of API contracts and data modeling.
· familiarity with cloud deployments and basic DevOps concepts to better coordinate with the DevOps/QA team.
