Special Hope Network exists to bring glory to God by creating a world where all kids are valued. We impact communities by improving care for kids with intellectual disabilities. This starts by equipping families and caregivers to provide these children with a loving home, holistic healthcare, and exceptional education and therapies.
We are seeking to fill the position of Program Coordinator in Eastern Province, Lusangazi (Petauke), with the following duties and responsibilities.
LMA (Lead, Manage, and Hold People Accountable)
• Provide clear direction, allocate necessary tools and resources, and opportunities for delegation for direct reports
• Lead staff in understanding program content and systems, take time to learn all the classrooms as well as the health application and program to ensure an ability to lead the center staff well
• Keep expectations clear, communicate well, and understand center staff capabilities and needs, use rewards and recognition to provide quick positive and corrective feedback, and reliably hold quarterly conversations
• Ensure direct reports are accountable for results (including carrying out performance evaluations)
• Be positive and supportive of SHN decisions and expectations to be an example of a hopeful attitude
• Be an example of spiritual growth by practicing personal daily habits of faithfulness. Talk about those habits when with your staff and ask them about theirs. Hold discipleship in high regard and add to Level 10s every time. Pray with your staff. Prioritize faith, yours, and your staff members.
• Conduct performance evaluations on staff
• Train staff on bible study skills, leadership skills, management skills, emotional intelligence in the workplace, and professionalism
Implementation
• Oversees data collection processes to ensure accuracy, consistency, and timeliness.
• Managed data storage, retrieval, and archiving to maintain data integrity.
• Conduct thorough data analysis to assess program performance and impact.
• Ensure compliance with donor requirements and organizational policies through regular audits and validations.
• Stay updated on the latest M&E trends and technologies to implement innovative solutions.
• Developing measurement tools such as surveys or focus groups to assess attitudes, opinions, or behaviors
• Qualitative and quantitative data from all defined stakeholders gathered and analyzed.
SUPPORT AND EVENTS:
• Ensuring a schedule is developed, and invitations are given with enough notice
• Developing flyers, handouts, etc.
• Drafting email/WhatsApp messages to communicate about the event
• Determining:
• Who needs to be communicated with
• How to communicate
• How to ensure ALL events are fun and engaging
• Make sure all staff involved have designated roles and responsibilities, and all know the week before the event
• Ensuring sign-in sheet is developed and used, saved to Dropbox
• The post-event report is written and submitted to include:
• Specific costs
• What went well
• What could be improved for next time
• Ensure staff understand their role and have the tools and understanding necessary to be successful in their role
• Provide hands-on demonstrations to staff, parents, and stakeholders
• Give timely feedback to staff to ensure improvement in specific skills necessary for their role
• Problem-solve issues with parents, stakeholder and staff by being supportive yet firm when necessary
• Problem-solve issues with kids by helping staff or parents better understand the child and the necessary steps to take to resolve issues
COMMUNITY ENGAGEMENT AND CHILD SPONSORSHIP
• Serve as a liaison between the organization and the community to ensure effective communication and collaboration
• Collaborate with internal teams to identify, design, and share SHN’s success stories effectively or collect and document success stories.
• Use success stories to inspire and motivate internal and external stakeholders and to support the Grant application and donor engagement
• Build and maintain relationships with media houses
• Represents at Community events, forums on radio and TV, programs, and meetings to foster partnership and collaboration.
• Work with leadership to develop SHN's potential Child Sponsorship Program (research on the online systems, identify child content)
• Monitoring and assessing the impact of the organization’s activities on the community.
FINANCIAL MANAGEMENT
• Manage petty cash responsibly, maintaining accurate records, submitting all receipts daily, and requesting replenishment before funds run out to avoid service disruptions.
• Administer the general fund allocation for project activities, tracking expenditures against approved limits and ensuring timely submission of all financial documentation (receipts, payment vouchers) to finance within 48 hours of transactions.
• Follow proper approval procedures for all expenditures, obtaining required signoffs from Finance or leadership before committing funds and never authorizing payments beyond delegated authority limits.
• Monitor the cashflow weekly to ensure adequate funds for planned activities, raising alerts to Finance 5 working days in advance when balances fall below 20% of the monthly allocation.
• Conduct monthly reconciliations of CCC financial records against Finance reports, resolving discrepancies within 3 days and implementing controls to prevent recurrence.
Faith Active

• Participate in trainings on management skills, emotional intelligence in the workplace, bible study skills, and professionalism
• Be above reproach in your work ethic (virtuous, upright). You are where you say you are, you spent what you say you spent, you do what you say you will do
• Maintain safe boundaries with other staff, Parents, advocates, caregivers, and children, always having another Special Hope adult with you at all times
Requirements
- Grade 12 certificate with 5 O Level credits or better including Mathematics and English
- A bachelor's degree in development studies, program management, social work or equivalent
- A postgraduate qualification or certification in Monitoring and Evaluation or Project Management is an added advantage.
