This is a high-responsibility operations role focused on controlling orders and stock. You will manage every confirmed order from the moment it is sold until final completion, ensuring goods are ordered from the supplier on time, received accurately, delivered on time and fully accounted for.
Your role is to prevent mistakes before they happen and ensure clients, suppliers and the internal team remain aligned at all times. This position suits a highly organized individual who enjoys structure, tracking and accountability.
Key Responsibilities
Project & Order Coordination
- Maintain a file for every confirmed order
- Track orders from approval → ordering → delivery → completion
- Verify items sold exist or are ordered
- Monitor supplier lead times and backorders
- Coordinate deliveries with contractors and clients
- Schedule collections and deliveries
- Handle shortages, damages and after-sales issues
- Follow up suppliers on outstanding items
- Prepare weekly project status reports
Objective: No order is forgotten, delayed without notice, or delivered incomplete.
Stock Control & Inventory Management
- Process GRNs immediately and accurately
- Check quantities and damages on arrival
- Allocate bin locations and maintain organised storage
- Prepare orders for dispatch
- Verify correctness before goods leave the shop
- Conduct regular stock counts
- Report discrepancies
- Monitor minimum stock levels
- Prepare replenishment orders
Objective: System stock matches physical stock and dispatch errors are prevented.
Dispatch & Delivery Control
- Check goods against invoice before release
- Prepare collection orders
- Coordinate delivery schedules
- Record outstanding items
- Update order status after dispatch
Objective: Incorrect goods must never leave the premises.
Communication & Reporting
- Daily updates on urgent and pending orders
- Weekly project status report
- Immediate escalation of delays or risks
- Coordination between sales team and suppliers
Objective: Management always knows the status of every project.
