This document has been prepared to summarise key aspects of the tender and evaluation process for Hire of a Facilitator on HR and Leadership Matters. The intention is to provide a clear framework which will be for 3 days and prices are firm and fixed.
We would respectfully ask that you read and consider our Vision, Mission, and Values as you prepare and submit your proposal and, if successful, reflect those throughout your relationship with Mary’s Meals.
2. Request For Offer (RFO) Submission Process
•Soft copy quotations must be emailed to Procurement.Zambia@Marysmeals.org NO LATER THAN 16:30 on Tuesday, 26th May 2026.
•Quotes received after the specified deadline will be disqualified.
•Any clarifications or additional questions about the RFO should be emailed to Procurement.Zambia@Marysmeals.org by 4:30 PM on Wednesday, 20th May 2026
•MMZ, at its discretion, can copy and reply to all other invited bidders
•Suppliers will be notified and issued a Contract/Purchase Order valid for the period of execution by Mary’s Meals, on or before Friday, 5th June 2026, if their bids are successful.

3. Evaluation Methodology & Scoring
Our evaluation methodology will be based on the Requirements Matrix, with scores assigned to categories as summarised below. Categories are listed with the highest weighting applied to category
‘A’, absolute scores in each of the 4 categories will be converted to a percentage and the weighting factor applied To illustrate, a perfect score in category A will mean that a bidder is assigned a weighting out of a 100 for that category towards their overall evaluation. Below is the weighting breakdown:

The evaluation process will include formal evaluations and scoring inputs before a recommendation is presented for approval to the MMZ Local Procurement Committee.
Those evaluations will consider, and be representative of, the needs of the global organization, as per the enclosed supporting documentation.
Feedback to each bidder on whether they were successful or not will be communicated as soon as possible thereafter. We estimate this will be one week after the management approval is granted.

Annex 1 – Statement of Works
Statement of Work for hire of a Facilitator on HR and Leadership Matters for Mary’s Meals Zambia, People and Culture Department
Marys Meals Zambia People and Culture Department would like to procure services of a Facilitator for a period of three days in Siavonga subject to confirmation of the venue. The facilitator shall provide pricing for transport, accommodation and facilitation services to Marys Meals Zambia.
The programme will run over three days and is designed to strengthen both the technical and behavioural competencies of our leadership team.
The first two days will be dedicated to a structured training workshop focused on:
•Disciplinary Handling
•Grievance Handling
These sessions are intended to enhance managers’ confidence and competence in managing employee relations matters effectively, fairly, and in line with policy and best practice.
The third day will be centred on team bonding and leadership development activities. We would like this day to be highly engaging and experiential, focusing on strengthening collaboration and overall team effectiveness. Key areas of focus would include:
• Collaboration and cross-functional teamwork
• Team dynamics and trust-building
• Emotional intelligence in leadership
• Communication and conflict resolution
• Accountability and shared leadership
• Problem-solving and decision-making as a team
For this component, we would require an experienced facilitator who can design and deliver interactive activities such as structured team challenges, scenario-based simulations, reflective group exercises, trust-building sessions, and facilitated dialogue aimed at improving cohesion and performance.
The facilitator shall provide a detailed 3-day program to be submitted together with the offer for consideration.
