Role Description
Responsible for supporting the development and implementation of various human resources initiatives, systems at the assigned branch office so as to ensure the provision of an effective, efficient and legally compliant human resource service at the assigned location.
Qualifications and Requirements
- Full grade (12) School Certificate
- Degree in Human Resource Management or Social Sciences.
- Three (3) years’ working experience in such a similar role
- Strong proficiency in MS365, including Excel and PowerPoint. Must have experience with Microsoft Teams.
- Proactive and self-motivated, with strong attention to detail and the ability to anticipate needs
- Ability to multitask and prioritize tasks independently
- Must be a member of the Zambia Institute of Human Resource
Key Responsibilities
- Undertake specialist general human resource tasks as required and appropriate to the role as per assigned branch office.
- Provide high quality professional advise and support to managers and staff for human resources related matters for all staff based at the assigned location.
- Update the database on probations, disciplinary warning letters, acting appointment, fixed term employment contracts ensuring their expirations and renewals are processed in a timely manner.
- Manage time, attendance and sickness ensuring to submit to the immediate supervisor a statistical report on a weekly basis.
- Work closely with the Chief Human Resource Officer to ensure the assigned location workforce payroll information is maintained up to date and that any problems identified are addressed in a timely manner.
- Advise supervisors and employees, through all aspects of employee life cycle to include absence management, investigations, discipline, grievance, capability in accordance with the consistent application of policies, procedures and compliance with employment law and best practices.
- Assist supervisory staff in the management of poor performance, advising on solutions and assisting them with their implementation.
- Benefits administration ensure that applicable separation dues, relocation allowances and funeral grants are processed and paid to deserving staff in a timely manner.
- Manage the Workers Compensation account as per assigned location ensuring all injured staff are reported as per required timeframe for notification to the immediate supervisor for onward submission for actioning purposes.
- Effectively manage and supervise the casual staff account i.e maintain an updated database, such staff are registered on the NAPSA account and that their applicable wages are paid in a timely manner.
- Manage the canteen at the assigned location ensuring that staff are provided with wholesome meals at all times.
- Manage staff accrued leave days ensuring that they are maintained at the required levels at all times.
- Conduct exit interviews, an induction process for all newly recruited staff, debriefings including facilitating the clearance process for all terminated employees.
- Interpret and maintain employee handbooks policies and best practices, identifies legal requirements affecting HR policies, procedures and compliance.
- Handle staff grievances and disciplinary processes ensuring that the same are resolved timely.
