Role Purpose
The Finance Officer is responsible for maintaining the financial health, accuracy, and transparency of the Shayna Deyne Group. This role ensures every transaction is correctly recorded, every account is reconciled, and the CEO always has an accurate picture of the company's financial position.
Please note: We are looking for a Finance Officer and NOT an accountant.
Key Responsibilities & Duties
Bookkeeping & Financial Records
• Record all income and expenditure transactions accurately in the accounting system
• Maintain the general ledger for both Curtain Factory and Deyne Interiors
• Process supplier invoices and ensure timely payment
• Manage customer accounts and follow up on outstanding debtors
Bank Reconciliation & Cash Management
• Perform monthly bank reconciliations for all company accounts
• Monitor daily cash flow and flag concerns to the CEO
• Manage petty cash and ensure accurate reconciliation
Financial Reporting
• Prepare monthly income and expenditure reports for the CEO
• Produce monthly debtor and creditor age analyses
• Track actuals vs. budget on a monthly basis
• Assist the CEO in preparing annual budget inputs
Payroll & Statutory Compliance
• Process monthly payroll accurately and on time
• Manage statutory deductions — PAYE and NAPSA contributions
• Submit statutory returns on time to the Zambia Revenue Authority (ZRA) and other regulatory bodies
• Issue accurate pay slips to all staff by the pay date
Financial Controls
• Ensure all financial transactions are authorized in line with company policy
• Flag any unusual transactions or potential fraud to the CEO immediately
• Maintain a secure and organized digital and physical finance filing system
KEY PERFORMANCE INDICATORS (KPIs)
• Accuracy of financial records — zero unreconciled discrepancies per month
• Monthly financial reports submitted to CEO by the 7th of each month
• Bank reconciliations completed within 3 working days of month end Curtain Factory
• Payroll processed accurately and on time — zero late or incorrect payments
• Debtor collections — outstanding accounts reduced month-on-month
• Statutory submissions filed on time — zero penalties
• Compliance with all financial controls — zero unauthorized transactions
Role Requirements
Minimum Qualifications & Education
• Degree in Accounting, Bookkeeping, or Financial Management
• ZICA (Zambia Institute of Chartered Accountants) qualification, or equivalent (ACCA, CIMA acceptable)
Experience Required
• Minimum 3 years in a bookkeeping or accounts officer role
• Experience processing full payroll including PAYE and NAPSA contributions
• Proficient in Xero, Sage, QuickBooks, or equivalent accounting software
• Experience in a retail or services SME environment preferred
Skills & Competencies
• Strong numerical accuracy and attention to detail
• Proficient in accounting software and MS Excel
• Knowledge of Zambian tax regulations — PAYE, VAT, NAPSA
• Ability to prepare management accounts and cash flow reports Personal Attributes

COMPANY LOCATION
Unit 3, Ibex Hub Mall, Corner of Chimanga Road and Bill Sela Street, Ibex Hill, Lusaka.
The office is located in the same mall as Choppies Supermarket (Ibex Hill), making it easy to identify the location.
