The Human Resource & Administrative Officer assists in the delivery of human resource and administrative functions by supporting recruitment, employee records management, payroll administration, statutory compliance, and general office administration. The role provides day-to-day support to the HR & Administration Department, ensuring HR processes are carried out efficiently and administrative operations run smoothly in line with company policies and procedures.
Key Qualifications and Competencies
- Assist with recruitment and onboarding processes, including scheduling interviews and preparing employment documentation.
- Maintain accurate employee records and ensure HR files are up to date.
- Support payroll preparation by collecting and verifying employee attendance, leave, and other payroll-related information.
- Assist with the administration of employee leave, contracts, confirmations, and separations.
- Support statutory compliance by preparing documentation for NAPSA, NHIMA, PAYE, and other regulatory requirements.
- Assist in coordinating employee training, performance management, and staff welfare activities.
- Provide administrative support, including managing office supplies, filing, correspondence, and record keeping.
- Prepare HR and administrative reports as required.
- Ensure compliance with company policies, labour laws, and administrative procedures.
- Perform any other HR and administrative duties assigned by management.
Key Qualifications and Competencies
- Full Grade 12 Certificate with Five (5) credits or better.
- Bachelor's Degree in Human Resource Management, Business Administration, Public Administration, or a related field.
- Minimum of 2-4 years of relevant experience in Human Resources and Administration.
- Registered member of the Zambia Institute of Human Resource Management (ZIHRM).
- Knowledge of the Employment Code Act and other labour legislation.
- Experience in recruitment, payroll support, employee records management, and HR administration.
- Strong organizational and administrative skills.
- Good interpersonal and communication skills.
- High level of integrity, confidentiality, and professionalism.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, particularly Word and Excel.
- Experience using HR or payroll systems (added advantage).
- Ability to work independently and as part of a team.
