We are seeking a professional, vigilant, and service-oriented Floor Ambassador to oversee floor presence, manage the visitor experience, and support the smooth day-to-day operations of our office. This role combines elements of front-of-house reception, security awareness, facilities coordination, and workplace operations.
Responsibilities:
- Maintain a visible and professional presence across assigned office floors.
- Conduct regular floor walks to identify security, operational, compliance, or facility concerns.
- Monitor movement within the workplace and identify unusual or unauthorized activity.
- Ensure employees and visitors comply with established access and workplace procedures.
- Escalate security incidents, facility concerns, or operational risks promptly.
- Welcome employees, clients, visitors, and guests professionally and courteously.
- Manage visitor arrivals, registration, access, and departure processes.
- Confirm visitor appointments and coordinate with relevant employees or departments.
- Direct guests to the appropriate meeting rooms, departments, or contacts.
- Ensure visitors receive a professional and seamless experience from arrival through departure.
- Monitor employee and visitor access to office areas.
- Manage and track the issuance, return, and replacement of employee access tags.
- Report lost, missing, or potentially compromised access credentials.
- Support access requirements for new hires and departing employees.
- Assist with Sunshare biometric registration and setup for team members.
- Monitor the general condition and operational readiness of office spaces.
- Identify facility, equipment, or housekeeping concerns during routine floor walks and report them to the responsible team.
- Follow up on reported issues to ensure timely resolution.
- Support the coordination and monitoring of employee shuttle services.
- Maintain accurate records of shuttle routes and kilometres travelled.
- Communicate transportation updates or changes to relevant stakeholders.
- Escalate delays, route challenges, or other transportation concerns.
- Support adherence to HIPAA, confidentiality, security, and workplace policies.
- Monitor floor activity to help prevent inappropriate exposure of confidential information.
Requirements:
- Diploma or Bachelor's degree in Security Management, Business Administration, Facilities Management, Hospitality, Operations Management, or a related field is preferred.
- Previous experience in security, reception, front-office operations, facilities coordination, hospitality, or workplace administration is highly desirable.
- Experience working in a corporate or professional office environment is an advantage.
- Familiarity with access control, visitor management, or biometric systems is beneficial.
- Understanding of confidentiality, data privacy, or HIPAA requirements is an added advantage.
