As a locally registered entity, CIZ boasts of a dedicated team of over 70 staff and 200+ volunteers. The organization operates offices and programs that support more than 17,000 young people across different communities in Lusaka namely - George, Kanyama and Chibolya.
THE CAREER OPPORTUNITY
The Talent Growth Specialist, employed by CI-Zambia, will join the agency at a pivotal moment as it implements new Child Path strategies designed to enhance effectiveness, efficiency, and accountability for the benefit of over 17,000 sponsored children in Lusaka.
Reporting directly to the Talent Growth Manager, this role requires close coordination and collaboration with colleagues across the organization—including the Agency Director, department managers, program leads, service area coordinators, and field officers—while ensuring full compliance with CI-Zambia policies, particularly those related to child safeguarding
Key responsibilities include partnering with the Talent Growth Manager to foster a culture of belonging aligned with the organization’s vision and mission; supporting the implementation of talent growth practices such as recruitment, employee life cycle management, staff welfare and development; maintaining accurate employee records and HRIS data; ensuring timely payroll processing in collaboration with the finance team and in compliance with statutory regulations; and managing documentation for legal accreditations and other statutory requirements.
Given the ongoing transformation within CI-Zambia, the position is of critical importance, supporting the Talent Growth manager in building a strong, engaged workforce that drives CIZ’s mission forward. While the role presents significant challenges, it also offers the rewarding opportunity to contribute to—and observe—the meaningful transformation in the lives of thousands of young people participating in the agency’s sponsorship program.
Key accountabilities
a. Talent Acquisition
· Identify diverse channels for sourcing and support internal and external circulation/visibility and advertising on specific channels, in line with the internal process.
· Screen and shortlist applications as well as facilitate interview scheduling.
· Prepare and maintain all documentation, including report compilation and score collations, reference verifications, intimation to unsuccessful/successful candidates, etc.
· Issuance of appointment letters, terms and conditions, contracts, etc.
a. Employee Life Cycle Management, Documentation and HRIS
· Support managers with the on-boarding process, to enable effective assimilation of all new hires.
· Prepare, send out and maintain centralized employee documentation across employee life cycle for all staff, accurately and on time including recruitment documents, Contracts, Confirmations, Transfer, Increment letters, Relieving’s, Experience Certificates, etc.
· Maintain, regularly review and update with accurate information the central employee database.
· Preparing HR audit, compliance and other reports and presentations and report findings.
· Ensure safe keeping and confidentiality of personnel information, records and documentation of all staff, including critical and complex employee relations’ decisions, e.g.: performance management, grievances handling, harassment, workplace misconduct, terminations, etc.
· Facilitate an effective and seamless exit process for resigning or terminated staff.
· Support in identifying, effective setup, regular updating, proper maintenance and leveraging of the agencies technology (HRIS) platform.
Document meetings, accreditations, and other government required legal documents
a. Employee Safety, Welfare, Engagement, and Development
· Assist employees with their needs and support requests and provide follow-up so that appropriate solutions are provided to internal clients.
· Coordinate trainings with concerned department heads/managers, specifically scheduling and documenting attendance & feedback.
· Administer, collect, and collate data on employee morale and health through various activities, including feedback surveys.
· Monitor indicators of employee grievances.
· Support the TG Manager in roll out of employee and volunteer engagement initiatives
a. Policies, Payroll and Compliance:
· Maintain and track staff leaves, vacation and attendance and provide accurate inputs to the Accounting team to support processing of payroll.
· Respond to inquiries from all staff related to leave, attendance, or any other concerns.
· Assist in the creation or update/modification of organizational policies and guidelines related to employment of staff and implement them accordingly
· Provide support and prepare legal documents for other staff related legal/statutory accreditations.
Assist in the effective roll out of any new policy and Talent Growth process within the Agency
EDUCATION, EXPERIENCE AND KEY SKILLS:
· A degree in Human Resource management or any other relevant discipline with minimum 5 years of experience in a similar profile.
· Must be a registered member of the Zambia Institute of Human Resource Management
· Hands-on experience with Human Resource Information Systems (HRIS) and strong proficiency in Microsoft Office applications, particularly word, ppt and excel.
· Possess good interpersonal skills with the proven ability to deal tactfully and build effective relationships with people across levels, both internally and externally.
· Time management and planning skills with the ability to prioritize, work under pressure and ensure adherence to deadlines and turnaround time without compromising quality.
· Attention to detail with the proven ability to analyze data, identify trends, problem solve and suggest improvements.
· Proven ability to work independently and as part of a team, and to adapt to changing priorities and demands.
· Demonstrated ability to quickly learn new systems, processes, and procedures, coupled with a growth mindset characterized by openness, humility, and courage to embrace change.
