1. POSITION SUMMARY
Zera International College of Health Sciences invites applications from suitably qualified and motivated individuals for the position of Assistant ICT Officer Intern.
The successful applicant will support the ICT Officer in providing technical assistance to staff and students, maintaining institutional ICT equipment, supporting institutional digital platforms, assisting with network and internet connectivity, and ensuring that ICT facilities remain functional, secure and properly documented.
The internship is intended to provide practical exposure in ICT support, systems administration, networking, equipment maintenance, cybersecurity awareness and institutional technology management.
2. MINIMUM QUALIFICATIONS
Applicants must possess the following:
- A Diploma or Degree in Information and Communication Technology, Information Technology, Computer Science, Computer Engineering, Management Information Systems or a closely related field from a recognised institution.
- A valid ZAQA verification or evaluation report for the relevant Diploma or Degree.
- A Grade 12 School Certificate or equivalent.
- Basic knowledge of computer hardware, software installation and troubleshooting.
- Basic understanding of computer networks, internet connectivity, Wi-Fi systems and network troubleshooting.
- Knowledge of Microsoft Windows operating systems and Microsoft Office applications.
- Ability to install, configure and support desktop computers, laptops, printers, scanners and related ICT equipment.
- Good communication, problem-solving and interpersonal skills.
- Ability to maintain confidentiality and handle institutional information responsibly.
- Willingness to learn, follow instructions and work under the supervision of the ICT Officer.
Previous experience in ICT support, computer maintenance, networking, website management, cybersecurity or systems administration will be an added advantage.
Knowledge of Learning Management Systems, Student Management Systems, biometric systems, website content management and institutional email administration will also be an added advantage.
3. KEY DUTIES AND RESPONSIBILITIES
The Assistant ICT Officer Intern will be responsible for the following:
ICT Technical Support
- Provide first-level ICT support to staff and students by diagnosing and resolving basic hardware and software problems.
- Receive, record and respond to ICT support requests in a timely and professional manner.
- Escalate complex ICT problems to the ICT Officer where necessary.
- Assist users with basic computer operations, approved software applications and institutional digital systems.
- Provide guidance to staff and students on the proper use of ICT equipment and systems.
Hardware Installation and Maintenance
- Install, configure and maintain desktop computers, laptops, printers, scanners and other ICT equipment.
- Assist with the diagnosis and repair of basic computer hardware problems.
- Support the installation, configuration and troubleshooting of printers, photocopiers, biometric devices and other ICT peripherals.
- Assist with the setup, deployment, relocation and replacement of ICT equipment.
- Ensure that ICT equipment is properly connected, labelled, stored and secured.
- Report damaged, missing, outdated or non-functional ICT equipment to the ICT Officer.
Software and Operating Systems
- Support the installation, configuration and maintenance of operating systems and approved software applications.
- Assist with software updates, antivirus updates, system patches and routine computer maintenance.
- Ensure that only authorised and properly licensed software is installed on institutional computers.
- Assist users with basic software configuration and troubleshooting.
- Support routine checks to ensure that institutional computers remain secure and operational.
Institutional Events and Classroom Support
- Assist in setting up computers, projectors, sound equipment and other ICT devices for meetings, lectures, training sessions and institutional events.
- Test equipment before meetings, lectures and events to ensure that it is functioning properly.
- Provide technical assistance during presentations, online meetings, examinations and training sessions.
- Assist lecturers and administrative staff with the use of projectors, computers and approved digital teaching platforms.
Institutional Email and User Accounts
- Assist in creating, configuring and managing institutional email accounts for staff and students.
- Support password resets, email account configuration and basic email troubleshooting.
- Assist in creating, updating, disabling and managing user accounts on institutional systems.
- Support user account management for the Student Management System, Learning Management System and other approved digital platforms.
- Maintain accurate records of user accounts created, modified, disabled or deleted.
- Ensure that user accounts are managed in accordance with institutional ICT policies and access-control procedures.
Network and Internet Support
- Assist in monitoring the institution’s local area network, internet connectivity and Wi-Fi access points.
- Conduct basic network troubleshooting under the supervision of the ICT Officer.
- Assist in identifying and reporting internet interruptions, weak Wi-Fi coverage and network equipment faults.
- Support the connection of approved computers, printers and other devices to the institutional network.
- Ensure that network cables, routers, switches and access points are properly organised and secured.
- Assist in preventing unauthorised access to institutional networks and ICT equipment.
Wednesday Routine Maintenance
- Participate in the institution’s Wednesday routine ICT maintenance programme.
- Conduct preventive checks on computers, printers, projectors and other ICT equipment.
- Assist with system updates, antivirus scans, storage checks and general computer cleaning.
- Identify equipment requiring repair, replacement or further technical assessment.
- Prepare or update maintenance records following the completion of routine checks.
- Ensure that maintenance activities are completed without unnecessarily disrupting institutional operations.
ICT Asset and Inventory Management
- Assist in maintaining an accurate inventory of ICT assets.
- Record computers, laptops, printers, projectors, networking equipment, software licences and other ICT resources.
- Assist in assigning asset numbers and labels to ICT equipment.
- Record the location, condition, user and maintenance history of institutional ICT assets.
- Participate in physical verification and audits of ICT equipment.
- Report missing, damaged, transferred or unrecorded ICT equipment to the ICT Officer.
- Assist in maintaining records of software licences, warranties and equipment service agreements.
Data Backup and Recovery
- Assist in conducting institutional data backups in accordance with approved ICT policies and procedures.
- Support the secure storage and organisation of backup files.
- Assist in testing backup files to confirm that institutional data can be recovered when required.
- Support basic data recovery processes under the supervision of the ICT Officer.
- Immediately report suspected data loss, unauthorised access or system compromise.
- Maintain confidentiality when handling institutional, staff and student information.
Cybersecurity Awareness
- Promote cybersecurity best practices among staff and students.
- Educate users on password security, phishing awareness, safe internet use and responsible digital conduct.
- Encourage users to avoid sharing passwords or accessing suspicious links and attachments.
- Assist in identifying suspicious emails, malware alerts and potential cybersecurity incidents.
- Report cybersecurity concerns to the ICT Officer or Management immediately.
- Support the implementation of approved password, antivirus, access-control and information-security procedures.
Website and Digital Content Support
- Support website updates and basic web content management under the supervision of the ICT Officer.
- Assist in uploading approved notices, announcements, programme information, images and other institutional content.
- Check website pages for broken links, outdated information and basic display problems.
- Ensure that only content authorised by Management is uploaded to institutional digital platforms.
- Support the proper organisation and storage of approved digital content.
Computer Laboratory Support
- Assist in maintaining institutional computer laboratories.
- Ensure that laboratory computers, internet access, software and peripherals remain functional.
- Conduct routine checks before and after computer laboratory sessions.
- Assist students and lecturers with basic ICT challenges during laboratory sessions.
- Ensure that laboratory equipment is properly arranged, secured and accounted for.
- Report misuse, damage, unauthorised software installation or security concerns.
- Support compliance with computer laboratory rules and institutional ICT policies.
Documentation and Reporting
- Maintain accurate records of ICT support requests, repairs, maintenance activities and equipment deployment.
- Prepare basic ICT activity reports as directed by the ICT Officer.
- Document recurring ICT problems and the corrective actions taken.
- Maintain records of user accounts, software installations, equipment faults and network incidents.
- Submit assigned reports within the required timelines.
- Assist in preparing ICT procedures, user guides and basic training materials.
Professional Conduct
- Maintain confidentiality of institutional, staff and student information.
- Comply with institutional ICT policies, data-protection requirements and professional standards.
- Demonstrate integrity, accountability, teamwork and respect when dealing with users.
- Protect institutional equipment, passwords, files and digital resources from unauthorised access.
- Follow lawful and reasonable instructions issued by the ICT Officer and Management.
- Uphold the institution’s Christian ethos, mission, vision and core values.
- Perform any other ICT-related duties assigned by the ICT Officer or Management.
4. REQUIRED COMPETENCIES
The successful applicant must demonstrate:
- Basic computer hardware and software troubleshooting skills;
- Knowledge of Microsoft Windows and Microsoft Office applications;
- Basic knowledge of networking, LAN systems, Wi-Fi and internet troubleshooting;
