As we expand across Lusaka, the Copperbelt, and Livingstone, we are seeking an experienced Executive Assistant to support the Director/CEO in achieving strategic, operational, and financial objectives.
Role Overview
The Executive Assistant (EA) will deliver high-level, strategic support to the Director/CEO, drawing on extensive experience in Business Administration, Sales and Relationship Management, and Event Management Operations.. This role requires a proactive, highly organized, detail-oriented professional who can balance administrative excellence with strategic and commercial priorities.  
Key Responsibilities
- Strategic and Executive Support 50%
 
- Provide primary executive support to the Director/CEO, managing internal and external communications with tact and professionalism.
 - Organize and coordinate meetings; prepare reports, presentations, agendas, and materials for Board, Shareholder, and EXCO sessions.
 - Track progress on strategic projects and initiatives related to Hotel partnerships and Fixed installations undertaken by the company.
 - Collaborate with cross-functional teams to support revenue generation and operational efficiency.
 - Cultivate and maintain professional relationships with key Event Management partners, Corporate Clients, Government, Hospitality and Venue operators.
 
- Sales and Business Administration 30%
 
- Assist the CEO in monitoring key client activities to support revenue targets.
 - Conduct opportunity research across platforms (including ZPPA and e-GP) to identify new business avenues.
 - Support the preparation of high-value proposals, tenders, and contract documentation.
 - Ensure all sales-related correspondence and documentation adhere to company standards and branding.
 
- Operational Coordination and Logistics 20%
 
- Manage the Director’s and EXCO calendar, prioritizing commitments and optimizing time management.
 - Arrange domestic and international travel, itineraries, and accommodations.
 - Work in collaboration with Operations team to coordinate resources for major events to ensure readiness and seamless execution.
 - Maintain confidential HR and compliance records in line with labor laws and company policies. Supporting the Director with local labour law adherence and human capital development initiatives.
 
Qualifications and Experience
- Experience: 8–10+ years of progressive experience supporting senior executives (CEO, MD, or Director) in a commercial environment.
 - Industry Exposure: Background in MICE, Event Management, Hospitality, or Technical Production is preferred; international business exposure is a plus.
 - Education: Bachelor’s degree in Business Administration, Commerce, or a related field. Additional certifications in Sales, Marketing, or Project Management are advantageous.
