Job Title: Management Assistant
Reports to: Senior Management Team
Job Summary:
We're looking for a highly organized, proactive and professional Management Assistant to provide high level administrative and operational support to our line managers. This role involves coordinating meetings, collecting and organizing data, preparing presentations, and tracking action points to support informed decision-making by management.
Key Responsibilities:
- Data Collection & Reporting
- Gather and consolidate information and reports from line managers for management meetings.
- Prepare concise summaries and dashboards of key performance metrics for management review.
- Track action points from meetings and follow up with relevant departments to ensure timely completion.
- Meeting Coordination & Support
- Schedule, organize, and coordinate management and departmental meetings.
- Prepare agendas, presentation materials, and minutes for meetings.
- Ensure that all logistical arrangements for meetings are in place.
- Administrative Support
- Manage the manager’s calendar, emails, and correspondence.
- Assist with internal and external communications on behalf of management.
- Maintain organized records, files, and documentation for easy retrieval.
- Project Assistance
- Support management in special projects by conducting research, preparing reports, and tracking progress.
- Assist in preparing presentations, reports, and proposals for management review.
- General Duties
- Serve as a point of contact between management and internal teams.
- Perform other duties as assigned to support the smooth functioning of the department.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Management, or related field.
- Minimum of 2 years’ proven work experience in an administrative or assistant role, preferably supporting senior management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience working with financial data and reports is an added advantage.
