Job Title: Human Resource Information Systems Analyst
Mission
Provides HRIS and data-driven support to enable accurate, efficient, and customer-centric delivery of Human Capital services to the business.
Under the supervision of the Senior Manager- Human Capital Employee Relations and Talent Acquisition, below are the Key Job Responsibilities of the Human Resource Information Systems Analyst:
Core Responsibilities:
- Supports onboarding of new employees by verifying signed contracts, ensuring accurate completion of employee master data and system forms, and loading employee records into the Human Resource Information System (HRIS) in line with MTN Human Capital policies and data governance standards. Provides system-related guidance to new staff and escalates policy-related queries to relevant HR stakeholders where required;
- Provides first-line and second-line support for HRIS users, including user account creation, password resets, access management, troubleshooting system issues, and guiding employees and managers on effective use of HRIS self-service and core HR modules;
- Maintains accurate, complete, and compliant employee data within HRIS, ensuring proper segmentation, validation, updating, archiving, and disposal of employee records in accordance with company policy, statutory requirements, and data retention standards. Liaises with HR Business Partners to ensure data consistency across regions;
- Administers employee records for short-term and fixed-term contract staff, ensuring timely system setup, updates, and terminations on HRIS in accordance with MTNZ Human Capital policies and procedures;
- Ensures all employment contracts and HR documentation are accurately captured, stored, and accessible within HRIS and document management systems, and coordinates with HR Administration teams to ensure alignment between physical and digital records.
- Manages employee separation processes from an HRIS perspective, including system deactivation, exit workflow completion, data updates, and reporting to ensure compliance with exit and asset recovery requirements;
- Provides HRIS-driven administrative support for HR governance meetings by generating system-based reports, supporting agenda preparation, capturing action items, and maintaining follow-up logs where system or data-related actions are required;
- Collates, validates, and analyses monthly HR data and activity reports from various HR units using HRIS and agreed reporting templates. Engages unit heads and HR stakeholders to resolve data discrepancies and ensure accuracy prior to executive review;
- Supports expatriate employee lifecycle management on HRIS, including onboarding, assignment tracking, and documentation, and works closely with relevant stakeholders to ensure accurate system records for immigration, work permits, and assignment timelines;
- Processes and tracks international travel approvals and related employee data changes on HRIS in collaboration with the Office of the Vice President and relevant HR stakeholders;
- Provides HRIS and data support for HR events and initiatives, including participant data management, attendance tracking, and post-event reporting;
- Prepares accurate monthly, quarterly, and ad hoc HR analytics and dashboards using HRIS data to support management decision-making and statutory reporting requirements;
- Maintains up-to-date knowledge of HRIS best practices, data protection standards, and HR compliance requirements, and performs duties in line with professional and ethical standards as prescribed by ZIHRM and MTN policies;
- Manages user provisioning, role assignment, and access controls on the Human Capital Management (HCM) system to ensure appropriate system security and segregation of duties;
- Collects, validates, and submits payroll input extracted from HRIS to the Human Capital Senior Manager, ensuring accuracy, completeness, and adherence to payroll processing timelines;
- Monitors leave data on HRIS across the OPCO, produces compliance and utilisation reports, and highlights trends or exceptions for management action;
- Provides HRIS support for the Staff Medical Scheme, including maintaining eligibility data, updates, reporting, and liaison with internal stakeholders to ensure data accuracy;
- Performs any other related HRIS, data, and system support duties that contribute to the effective delivery of Human Capital services and achievement of organisational objectives.
Candidate Requirements:
- A minimum of a bachelor’s degree in human resources management, or a related field;
- Grade twelve (12) Certificate with 5 credits or better including English and Mathematics;
- Minimum of 3–5 years’ experience in an HR, HRIS, or data administration role within a busy commercial environment;
- Proven experience working with an HR Information System (HRIS/HCM), including employee data management, onboarding, employee changes, and terminations;
- Prior experience in a reputable organisation, preferably within Telecommunications or a similar complex, regulated industry;
- Exposure to payroll input preparation, leave administration, and employee benefits data management is highly desirable;
- Experience supporting HR reporting, data validation, and analytics for management or statutory purposes.
Professional Knowledge:
- Working knowledge of HR policies, employment lifecycle processes, and basic labour compliance requirements;
- Membership of or alignment with ZIHRM professional and ethical standards is an added advantage.
